Holiday Shopping Extravaganza

Saturday, November 13th, 2010

9:00 a.m. – 4:00 p.m.

 

Thank you for your interest in our very first Holiday Shopping Extravaganza.  Attached is your Craft Show application and standards.  Please read the enclosed Craft Show standards, complete your application and return with a check to hold your spot as soon as possible.  Spaces will be assigned on a first come, first served basis.

 

We have several options for available space.  On the application sheet please mark in order 1-5 your choices.  We will provide two chairs for each space rented.  The fees are noted on the application as well.  We will not be able to hold the requested space until payment is received. 

 

The bazaar will be open from 9:00 a.m. to 4:00 p.m. on Saturday, November 13, 2010 at Lighthouse Baptist Church at the address noted above.  Doors will open at 7:00 a.m. for set up.  You may set up on Friday, November 12th from 5 p.m. to 9 p.m.  However, please be advised that Friday set-up will be at your own risk.  The church will be locked, but there will be no overnight security available.  All vendors must be set up and ready for shoppers by 8:45 a.m.

 

Confirmation with your assigned space number will be e-mailed upon receipt of your completed application and payment.  If you prefer to have it mailed to you please note on your application.

ENTRY REQUIREMENTS

Complete and sign the application.  The application, which includes the terms and conditions, must be signed by everyone who wishes to participate in this show.

Enclose a check for the entire booth fee, including table fees, extra chairs, and electric if applicable.  Make checks payable to Lighthouse Baptist Church and put “Bazaar Rental” in the memo section of your check.

Deadline for applications is once the show is full.  It will sell out quickly.

 

CRAFT BAZAAR STANDARDS:  We are trying to maintain high standards as this event is taking place in a church building.  Please note that we have the right to ask you to remove any items that we believe are offensive.  No alcohol, drug or questionable items will be permitted. 

 

SPACE ASSIGNMENT AND FEES:  Exhibit space will be assigned on first come, first served basis.  We will endeavor to honor choice of space as noted on the application in the order requests are received.  In the event that preferred space has been assigned, we reserve the right to assign the next best available space.  Spaces are listed on the application.  Most spaces are 9x8, unless noted otherwise.  If you need a larger area you are welcome to purchase an entire classroom off of the gymnasium.  Tables will be available for $5.00 each.  ONLY THOSE LISTED ON YOUR REGISTRATION ARE ALLOWED TO SELL IN YOUR SPACE WITH YOU.

 

CANCELLATION AND REFUNDS:  Refunds will only be given if we receive notice of cancellation in a timely manner and are able to rent your space to another crafter on the waiting list.  Vendors may not resell their space to another vendor.  Vendors without a confirmation will be asked to leave without a refund.  Crafters who fail to notify us of cancellation and/or fail to set up will not be eligible for future shows. 

 

BOOTH SET-UP & BREAK-DOWN:  Venders must have their booths ready for business and shoppers by 8:45 a.m.  All aisles surrounding their assigned area must be cleared of carts, merchandise, boxes, etc.  We must enforce this for the safety of our shoppers and vendors.  All displays are to remain set up until the close of the show at 4 p.m.  If you break down early, you will not be eligible for future shows.  Please remove all trash.  The church dumpster will not be available for disposal, so, please make other arrangements.

 

DIMENSIONS AND LIMITATIONS:  Displays must not exceed 6 ft. in height.  Displays must be constructed so as not to obstruct the general view or the view of adjoining booths.  Permission to exceed 6 ft. must be obtained in writing.  The vendor will be advised of which space location will meet the requirements.

 

FOOD AND RAFFLE RIGHTS:  Sale of food rights is strictly limited to Lighthouse Baptist Church.  Included are all baked goods, candies, etc.  These items will be on sale along with coffee, soft drinks, hot dogs, etc.  No exceptions will be made.  Raffles of any type are prohibited by Lighthouse Baptist Church.  Free door prize drawings are acceptable.  Complementary tickets will be given for 1 free coffee and 1 free donut for each REGISTERED vendor.

 

SALES TAX:  Sales taxes are the responsibility of the vendor.

 

CHANGE:  Vendors are requested to bring an ample supply of change.  Lighthouse is not able to honor change requests.

 

ELECTRICITY:  If electricity is required, please note on the application.  We will assign a space, as close to the electric outlet as possible but the responsibility for extension cords will be the vendors.  All electrical cords must be concealed behind or under the displays.  Booth space with available electricity is limited.  In most cases, the spaces along walls have electricity available.  Due to safety regulations, electricity will only be available to those spaces noted.

 

CONFIRMATION:  All confirmations of booth space will be e-mailed unless you do not have e-mail access. 

 

PROTECTION OF CHURCH PROPERTY:  Nothing shall be pasted, tacked, nailed, screwed or otherwise attached to walls, floors or other part of the building or furniture.  No open flames, such as burning candles are permitted without prior approval.  If you plan to demonstrate your craft, please protect the church property from damage.

 

PARKING:  All vendors must park in the designated vendor parking area in the far South parking lot.  That will allow our shoppers parking convenience.  No parking close to the building during the craft show hours.  We will have teenagers available to help unload and load your vehicles.

 

SMOKING:  No smoking will be permitted in the church building or on church property.  This is a smoke-free campus.

 

SECURITY:  The church will be locked at night.  Every precaution will be taken to secure your property.  However, we cannot be responsible or liable for any injury in your booth to any customer or exhibitor and/or loss or damaged property in your booth for any reason.

 

WAITING LIST:  A waiting list will be established when all vendor spaces are sold.  Any cancellations will be filled from the waiting list in the order they were received.
